Crisis Coach Inc., (“we”, “us”, or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and share your information when you use the website https://CrisisCoach.ai (the “Website”). By using the Website, you agree to the practices outlined in this policy.
1. Information We Collect
We collect data through information you provide directly and automatically when you interact with our Website and services. We donot collect any information through non-digital methods.
Information You Provide Directly: When you register an account, communicate with us, including through email, support messages, service purchases or otherwise interact with our Website, we may collect your name, personal email address, company name, phone number (optional), role/title, and account email and password.
Automatically Collected Information: We may automatically collect data related to your device and browsing activity when you interact with our Website through cookies and tracking technologies, analytical tools (e.g., Google Analytics) and logging systems. This data consists of your IP address, browser type, device type, operating system, and access times. We may also collect location data such as your approximate IP-based location.
We do not intentionally collect any sensitive data, such as health, biometric, or financial information. The financial information collected is limited to Stripe payment tokens, and we do not maintain your full payment card details. We do not collect any user-generated content or any social media details directly. Any information shared to/and or with a social media company is governed by those companies’ privacy policies.
We currently only collect information based on our Website use. If we offer our services on mobile applications in the future, those apps may collect the same or similar data.
2. Use of Information
We use the information we collect to:
Create and oversee user accounts, provide access to training scenarios, and deliver services customers purchase.
Complete payment transactions and administer your payment subscriptions through Stripe.
Provide product updates, send newsletters and promotional messages (with the option for users to opt out).
Enhance our services by improving features, scenario quality, and optimize system performance.
Comply with legal, tax, and accounting requirements.
Conduct research to refine UX, analyze usage trends, and inform product development.
Customize content and training recommendations within the platform.
3. Sharing of Information
We do not sell or share your personal information with third parties, except in the following limited situations:
Service Providers: We may share information with third-party vendors who need certain customer data to perform services on our behalf. These service providers include our payment processing system (Stripe), analytical tools to refine our services (Google Analytics, Mixpanel, HotJar, etc.), email delivery services (SendGrid, Mailgun, and Hubspot or CRM), and hosting and infrastructure resources to process and store data (AWS, Vercel or equivalent). We may also share information with AI/content providers (HeyGen, ElevenLabs, OpenAI) and advertising partners (Meta, Google Ads, TikTok).
Legal Compliance: We may disclose your information when required by law or if we believe that doing so is necessary to enforce compliance with our terms, to protect our rights, to protect our customers, and prevent harm.
Business Transfers: If a merger, acquisition, or asset sale occurs, user data may be transferred to the new entity as part of the transaction.
Business Partners: Currently, we are not partnered with any business. If we enter a business partnership in the future, your data may be disclosed as part of the partnership.
International Transfers: International users’ data may be sent to and stored in the United States.
4. AI & Automated Decision-Making
We utilize AI for training scenario generation and analysis. Although AI– generated outputs may be automated, they are not used to make any legal or employment decisions without human review.
5. Security
We take reasonable precautions to safeguard your personal information from loss, misuse, unauthorized access, or disclosure. We store all data on secure cloud servers in the United States. This data is protected through security measures such as encrypted data transmission (HTTP/SSL), encrypted data storage (where applicable), access controls and authentication protocols, regular security reviews and vulnerability assessments. However, no security system is impenetrable, and we cannot guarantee the security of your information.
If our systems are impacted by a data breach, we will notify affected users and regulators in accordance with the law.
Your information is stored only for as long as necessary for business operations, to fulfill legal obligations, or resolve disputes. When you delete your account with us, your data is removed from our systems within 30 days.
6. Your Choices
You also have the right to make certain choices related to how your data is used.
You can access, correct, delete or export your data at any time. In doing so, you may be required to verify your identity. You can also request that we limit how we use your personal information in specific circumstances and can opt out of receiving marketing emails at any time. Users can manage their communication preferences through links contained in marketing emails or by contacting our support team. Currently, we do not communicate with customers through SMS/Text or push notifications. Please note that we may continue to store certain personal information according to legal retention requirements or for legitimate business purposes.

7. Third-Party Services
We work with multiple third parties to deliver services. These include Google Analytics (Mixpanel in the future), Stripe (payment processing), Mailgun and CRM like HubSpot (email delivery), Meta, Google Ads, TikTok (advertising partners), AWS, Vercel (hosting & infrastructure services),and Heygen, ElevenLabs, OpenAI (AI/Content Providers). Users should review the privacy policies of these third parties because their services are governed by their privacy policies, so we cannot control how they collect or use your information.
8. Cookies & Tracking
We use several types of Cookies & Tracking tools, including Essential, which are required for site functionality and authentication, Analytics, which is used to measure Website traffic and usage patterns, and Marketing, which is used for retargeting and personalized advertising (e.g., Meta, Pixel, Google Ads Pixel). We also employ Third-Party Cookies for Website analytics and advertising and Tracking Pixels/Beacons to evaluate marketing attributions and to track performance. Users can adjust their cookie preferences through their web browser settings or by utilizing opt-out tools. Currently, our Website does not respond to users Do Not Track browser signals. For this reason, we may continue to collect information when you interact with our Website.
9. Children’s Privacy
Our services are not intended for use by individuals under the age of 18. When creating an account, users self-certify that they are at least 18. We do not knowingly collect any personal data from children under the age of 13 and if we learn we have collected that data, we will take the necessary steps to delete it. In the case of an organization authorizing use of our Website to minors under the age of 18, that organization is required to obtain parental consent for those minors to access our services.
10. International Users
Our Website currently operates in the United States, however, we plan to expand internationally in the future. By using the Website, you consent to the processing of your information in the U.S., which may have different privacy laws then those in your country.
At this time, we provide our services only in English, but additional languages may be offered as we grow internationally. If your data is being transferred to the United States, your personal information is protected in this transfer through Standard Contractual Clauses or similar mechanisms that will be implemented to comply with The General Data Protection Regulation.

We may update this policy periodically. If we make any significant changes, we will notify you through email or a prominent notice on the Website. The updated policy will take effect as of the “Last Updated” date listed at the top of the page.
